JOB DESCRIPTION

 

 

Position Title:  Bookkeeper/Data Clerk

Reports to:  Transportation Director

Terms of Employment:  12 months, full time

Pay Grade: 65

FLSA: Non-Exempt

 

Nature of Work

 

This position is responsible for managing the program resources from state, federal, and grant funders.  The bookkeeping duties require monthly reporting of payroll, financial status reports and the processing, monitoring, and reconciling of all the program’s financial transactions.  The office support duties include all functions necessary to manage and maintain an office to meet the needs of the staff, students, parents, administrators, and the public.

 

Essential Functions and Responsibilities

 

  • Provides Customer Service- answering phones, greeting and interacting with staff, parents, visitors and
  • Relay a variety of established information for each program area
  • Compose materials giving readily available data andIor established information
  • Enter monthly payroll for all Transportation staff and Independent Bus Drivers, including collecting, assessing and correcting over 200 driver timesheets. Verify clock in and out times for drivers in the Global Positioning System (GPS) Navigation System
  • Enter staff, and independent driver's requested leave in the absence reporting system for approval
  • Prepare monthly travel reports for Coordinators and submit to District Payroll Specialist
  • Submit supply orders for instructional and custodial staff
  • Create work order requests and submit to maintenance/ facilities department
  • Assist schools in making field trip arrangements including scheduling of buses, collecting request forms, mileage data and processing payments
  • Assist in entering data for our Business Systems Information Portal (BSIP) system
  • Input purchase orders for approval, track purchase orders, and check in when delivered
  • Validate and ensure accuracy of State and Local Money for budget reports and account balances
  • Retrieve data reports for multiple monthly financial status for each state and local funded accounts
  • Schedule Commercial Driver License Bus Classes with the DMV Trainer, as well as gathering essential information on each person enrolling in the Bus Class
  • Verify licenses and licensures for the CDL Drivers
  • Enter data in Clearinghouse system on each CDL Holder to determine status on all new drivers and yearly uploads on all CDL holders
  • Process reimbursements on all drivers for their CDL's
  • Review applications in the Applicant Tracking System (ATS), including entering data and processing paperwork in the hiring process
  • Schedule all drug and alcohol testing for new drivers and employees that hold a CDL
  • Process all paperwork sent in on employees who were tested
  • Input all staff and bus drivers into our GPS Navigation System ensure drivers can use the system to clock in and out each day on their tablets to record their times driving.
  • Enter data on Bookkeepers, AP's and monitors into the GPS system
  • Create and submit Technology requests for work orders to be placed
  • File all BSIP paperwork
  • File and maintain personnel files on all staff and drivers
  • Update and enter insurance information for all local vehicles
  • Balance Purchase cards and submit monthly statements to the District Finance Department
  • Other duties as assigned by the Transportation Director

 

  • Knowledge, Skills, and Abilities
  • Working knowledge of office practices and general office equipment
  • Working knowledge of basic bookkeeping
  • Working knowledge and ability to use correct grammar, spelling, and punctuation
  • Considerable knowledge of computer operations to include Google Drive, Microsoft Excel and Word
  • Ability to effectively organize, schedule, and maintain all functions of the work environment
  • Ability to work in a fast-paced environment and multi task
  • Ability to work with public and troubleshoot minor problems for customer satisfaction

 

Education and Experience

  • High School Diploma with associate's degree in business administration preferred
