PARTS/COST CLERK
JOB DESCRIPTION
Position Title: Parts/Cost Clerk
Reports to: Transportation Director
Terms of Employment: 12 months, full time
Pay Grade: 65
FLSA: Non-Exempt
Nature of Work
The Transportation Parts/Cost Clerk position is responsible for managing all aspects of inventory control. This includes preparing/processing invoices and purchase orders, stocking, and issuing automotive truck and bus repair parts. This position must comply with the processes, procedures, and guidelines set by DPI Transportation Services to manage inventory control. This position involves maintaining accurate ?nancial records, budget analysis, and expenditure projections.
Essential Functions and Responsibilities
- Responsible for daily data entry of Preventative Maintenance, Corrective Maintenance, and 30- Day Inspection work orders on entire bus ?eet, to include: parts, labor, mileage, service performed, and technician performing
- Monitor repair parts, fuel, and tires inventory to make purchasing decisions for inventory
- Obsolete parts from inventory based on usage data and contact the DPI Field Consultant to place items for sale through State
- Report to State Surplus the recycling of automotive ?uids for
- Submit requisitions for purchase orders in NC eProcurement for Transportation Services’ purchasing
- Receive purchases, verify shipments against the invoice for
- Label parts with corresponding DOT (Dept of Transportation) numbering
- Input parts, fuel, and tires into inventory via SAP/BSIP following the processes set by
- Process invoices for payment and submit to the district Finance
- Maintain Transportation Services budget
- Report budget analysis and projections to the Transportation
- Request transfer of funds between budget codes as
- Request quotes for contracted repairs and
- Reconcile monthly Purchase Card reports and submit to the district Finance
- Input local vehicle and service truck mileage into SAP/BSIP to ensure proper Preventative Maintenance orders are
- Input daily fuel consumption into SAP/BSIP.
- Manage ?eet fuel cards and reconcile monthly statement with fuel
- Process and ship oil sample submissions for analysis reporting to the Shop
- Monitor fuel dispensing equipment at Transportation Services, and all three district high schools for proper Schedule repairs and maintenance as needed.
- Prepare and submit annual Equipment and Fuel Contingency reports to DPI Transportation
- Conduct physical inventory Resolve inventory discrepancies and input ?nal count into SAP/BSIP for reporting to DPI.
- Maintain organization of parts and materials to adequately assist technicians in obtaining the parts and materials needed for bus maintenance and
- Other duties as assigned by the Transportation
Knowledge, Skills, and Abilities
- Possess strong data entry and computer skills including Microsoft Word and
- Demonstrate effective written and verbal communication
- Ability to plan, prioritize, and execute duties with little
- Ability to multitask in a fast-paced
- Extensive working knowledge of accounting and inventory

- Ability to operate forklift
Education and Experience
- High School Diploma with Associate’s Degree in business related ?eld
Special Requirements
- Business Systems Information Portal (SAP/BSIP) experience
- Knowledge of automotive/truck/bus mechanical operations a

- Physical ability to exert up to 50 pounds of force occasionally and dexterity to perform the duties and responsibilities of the
- Must be able to stoop, kneel, reach, climb, pull and
- Requires handling auto/truck/bus parts and minimum occasional exposure to automotive/diesel
